Letter
Editing Screens
These section has the following topics:
There are two letter editing screen that
differ in the buttons and
selections on the right hand side. The two views are shown below, those
being Addresse
(discussed in this section) and Compose
(discussed elsewhere), respectively.
Top Button Bar
The top buttons and fields are the
same on each screen. Below is the left section of these buttons.
- Clicking Compose changes to that screen
- Clicking Preview shows you the current record
in preview mode so you can see how it looks before you print it.
- Show
Patient presents you with a list of the current patient's
letters.
- Clicking Del deletes the current record, if
not locked, after confirmation at a dialog. If you do not have deletion
privileges you will need to use the "deletion password" in order to
proceed.
- Clicking New gives you a dialog to start a
new record. Click here

- Clicking Find gives you the Letters Find Dialog below. If
searching on the Visit Date
field be sure to type in the entire date (4/1/2004 not 4/1). For the Patient Name
entire as little or much as you want (i.e. to find "jonathan Smith" you
could type in just "jon smi")
- Clicking List not printed find all letters
that have not been printed yet and gives you a list that you can print
and work on.
- Clicking List just shows you a list of the
current found set of letters.
The right section of buttons
is shown below.
- If for whatever reason
you need to change the Chart
or Inv Number on a record,
first hold down the ctrl key and click into the field. This extra step
prevents accidental changes.
- To print ALL, the Current or Fax ALL letters (with the add-on
feature of course), click the appropriate buttons. There is a separate
chapter on Printing Letters and Editing
Layouts.
The Address Screen
This screen allows
to you to select which person this
letter will be addressed to. The Patient's Providers are listed
in the top section. Initially, when a letter is created by clicking the
New
button, the Addressee is filled in with the selected provider of the
patient (the radio buttons in the patient's
providers
section determines the default primary letter addressee). This section
also allows you to do other things as labeled.
- Clicking the arrow at A
gives you a drop down list of all providers in the PhoneBook and other records with PickList selected as "Yes". Once
selected, the records fills in
- Clicking B clears
all the Addresse fields.
- Clicking C takes
you to that person's record in the PhoneBook, if one exists.
- If you enter something into Starts with... and check the box,
what's entered will be used to start the letter, such as "Hello fellow
traveler,"!
- To select a different provider for this letter by click on
either the Primary, Referring or Other
buttons.
- The clipboard icon copies that provider's short name (i.e.
Dr. Smith) to the clipboard so you can paste it into the body of the
letter.
- The thumb icon
takes you to that provider's PhoneBook
record.
- The
icon copies that provider's name and address into the CC: field.
- These fields can be filled in manually so you can address
a letter to anyone, even though they are not in the PhoneBook.
Fax Control
Center
If you have the fax add-on
function, and you are using either a pre-OSX
Macintosh, or a Windows PC, you can set up this letter to be faxed to
the Addresse rather than printed. To do this the Addresse or CC
fields must be "Yes" and the
fax number must appear in the field.
Clicking
the Fax it! button will fax the letter now and not
later as a
batch.
Selected Facility
You can also fax the current later
to a selected facility. This comes
in handy so faxing over a surgery booking sheet or history and
physical.
Once again, the facility must be in the PhoneBook.
Closing, C.C.
and P.S. Type
- Closing selects the closing to be used before your
signature, such as "Sincerely" (the default), or whatever else you
select from the pop-up list. You can edit this pop-up list by selecting
Edit... at the bottom and changing the contents of the list.
- C.C. (which actually stands for "Carbon copy") has a list
of all PhoneBook entries. This field is filled in when you click the
"CC letter" button in the provider's list discussed above.
- The P.S. Type field labels the "Post script"
portion of the letter. The selections, which can also be edited, are
"CC:", "Enclosures:", "P.S." and "BTW".
- The button "CC to patient" inserts the patient's name and
address in the "PS" field. To clear this field click "Clear PS"
